How do I avoid contacting the same business twice?

Use a consistent company identity and check existing conversations before adding a prospect. Normalize domains, review subsidiaries, and distinguish separate locations from separate purchasing teams. Duplicate prevention needs to include active campaigns, past replies, and suppression records. Comparing company names alone misses spelling variants and rebrands.

How to approach it

  1. Match records using the company domain and known aliases.
  2. Review recent and active conversations before assigning outreach.
  3. Share ownership of each account across your team.
Illustrative example

“Example Inc.” and “Example Canada” may refer to one purchasing team. If someone already replied, a second campaign should not restart the same introductory email from another salesperson.
