Replies and follow-ups

When should I follow up with a B2B prospect?

Allow time for the recipient to read and consider the message. Choose timing that fits the business context, its working hours, and any preference the recipient expressed. A specific request to reconnect later should guide the schedule. Avoid treating a short delay as rejection or using automated follow-ups after a real conversation has begun.

How to approach it

  1. Check for a reply before every scheduled follow-up.
  2. Respect the recipient’s timezone and requested timing.
  3. Pause if the reason for contacting them is no longer current.
Illustrative example

If a buyer says their project resumes next month, record that timing and ask whether reconnecting then would be useful. Do not keep the original automated sequence running meanwhile.
